What When Where was born from the frustration of a vibrant regional community struggling to stay updated on local activities and events. Social media platforms often showed more ads than relevant content, with posts about local events appearing long after they’d already happened.
Many communities, like this one, thrive on tourism. That’s why What When Where isn’t just for locals—it’s also designed to make it easy for visitors to discover what's happening while they’re in town. Whether reviewing the app before their trip or signing up for our newsletter to plan future visits, we help ensure everyone stays in the loop.

Easily integrate What When Where into your website using our Widget Builder to add a custom-branded calendar. Your website developer will find the process simple and straightforward. Plus, you can submit your events directly to What When Where and automatically update your website’s calendar, keeping everything in sync!

Display What When Where on any internet-enabled Android TV, computer-connected screen, Google Chromecast, or Amazon Firestick to showcase your community’s events and keep guests and visitors engaged.

Local Directory:
Keep your Google Business details up to date, and we’ll automatically list them on What When Where. You can also add custom listings for specific places like clubs, amenities, parks, art sculptures, or local attractions. With customizable categories, it’s easy for people to find you quickly!

Emergency Community Alerts:
In times of disaster, we can activate an Emergency function in your community to send notifications about local efforts, such as stock relocations, community meetings, available provisions, shelter access, and more.
(Note: This is not for specific disaster details like fire or flood locations, which are covered by emergency apps. It’s focused on local community actions and support.)

Broadcast Notifications:
Send broadcast notifications to your community to inform them of event changes, reminders for new activities, volunteer calls, or any other important updates. (Use sparingly—avoid spamming!)

Anyone can download the app and submit content at no cost. It’s all about making local connections easier and more accessible for everyone.
However, to ensure your area has a dedicated space, we work with local community groups, business chambers, or other organizations to create a tailored community for your region. We’d love to partner with you to bring your community to life!

Frequently Asked Questions
For users of the app—your community members, clubs, schools, and businesses—it absolutely is! Everyone can submit events, directory listings, or gallery items for FREE, removing any barriers to sharing local content.
However, to set up a community for your area, we partner with local business groups, chambers, or other active community leaders. This helps us tailor the platform specifically for your region.
There is a cost to create and maintain a community space. For details, check out our Pricing information above.
This setup includes onboarding and training, phone support, and marketing materials to help spread the word that your community is live on What When Where.
Once a community is set up for your area, a local partner (such as a chamber of commerce, business group, or event organizing body) will designate a group of members as Approvers.
When an event or directory item is submitted, an alert is sent to the designated approvers for review. They can then either approve or deny the submission. If an item is denied, the approvers can add a comment explaining why, and the submission will be returned to the submitter for revisions.
Once an item is approved, it goes live on What When Where immediately.
Inappropriate submissions are prevented through a review process involving multiple community approvers. When a new item is submitted, approvers are alerted and can review it. Any inappropriate content can be denied before it’s visible to the public. The approval/denial process usually takes less than a minute, and safeguards are in place to prevent inappropriate images from being seen by approvers.
